How to Prepare Your Commercial HVAC System for Winter
Residential HVAC gets most of the seasonal maintenance attention, but commercial systems face greater demands and higher stakes when the cold weather arrives. A heating failure in a commercial building isn't just an inconvenience — it can mean closed operations, damaged inventory, tenant complaints, and liability exposure.
The good news is that most winter HVAC failures are preventable. Here's what commercial property owners and facilities managers should be doing before temperatures drop.
Schedule Professional Inspection and Tune-Up in Early Fall
The same logic that applies to residential systems applies here, but with more consequence: the best time to find a problem is before you need the equipment. A commercial HVAC tune-up in September or early October gives your service provider time to source any needed parts, complete repairs without emergency pricing, and have your system fully operational before the first cold snap.
For commercial systems, a proper fall inspection should include combustion analysis on gas-fired heating equipment, refrigerant level check on heat pumps, inspection of heat exchangers for cracks or corrosion, controls and thermostat calibration, belt and motor checks on air handling units, and duct integrity inspection.
Check Your Building Automation System
Most commercial buildings use a building automation system (BAS) to control temperature zones, scheduling, and equipment sequencing. Before heating season, verify that your BAS is set for the correct seasonal program and that all zone setpoints reflect your current occupancy patterns. Equipment running on summer schedules through winter wastes energy and can create comfort issues across the building.
If you've had tenant changes, space reconfigurations, or operational hour changes since last winter, update your BAS accordingly.
Inspect Rooftop Units Thoroughly
Commercial rooftop units (RTUs) take significant weather exposure year-round. Fall is the time to inspect all RTU panels and cabinet integrity, clear any debris from coils and drain pans, verify that economizer dampers are functioning correctly, and check electrical connections for corrosion. A rooftop unit that enters winter with a failing component is much more expensive to service in freezing temperatures.
Test All Heating Zones
Before cold weather arrives, test heat delivery to every zone in your building. Walk the space while heating is active and confirm that air is coming from all supply registers, that no zones are consistently failing to reach setpoint, and that there are no unusual sounds coming from air handling units or ductwork.
Zone failures discovered in November are easier and cheaper to diagnose than those discovered during a January cold snap.
Ensure Emergency Heating Capacity
For operations that cannot tolerate heating downtime — food service, healthcare facilities, data centers, manufacturing environments — review your emergency backup heating options before they're needed. Know what your service provider's emergency response time is, and make sure you have a service agreement in place that guarantees priority response.
Establish a Service Agreement
An annual commercial HVAC service agreement is the most cost-effective way to maintain system performance and ensure priority access to technicians when something goes wrong. Most service agreements include scheduled preventive maintenance visits, priority emergency dispatch, and parts and labor discounts.
